Freelance Business Glossary

Master the professional language of client management. Understanding these terms is the first step to running a profitable agency.

Scope Creep

The uncontrolled expansion of project goals or requirements without corresponding adjustments to budget, timeline, or resources. This is the primary driver of unprofitability in freelance businesses.

Scope of Work (SOW)

A formal document that captures the work to be performed. A high-quality SOW explicitly lists "Exclusions"—what is NOT included in the project—to prevent misaligned expectations.

Revision Policy

A set of defined rules governing the number of edit rounds provided to a client. Without a strict policy, projects can enter "revision hell," where endless edits exhaust your profit margin.

Client Intake

The process of qualifying potential clients before signing a contract. Proper intake identifies "Red Flag" clients early, allowing you to walk away from projects that will cost you money.

Offboarding

The final stage of a project lifecycle. Effective offboarding involves gathering testimonials, asking for referrals, and automating the follow-up process for repeat bookings.

Milestone-Based Billing

A payment schedule where funds are released upon the completion of specific project stages, rather than waiting until the end of a project. This protects cash flow and ensures client commitment.

Change Order

A formal written request and agreement to modify the original Scope of Work. It serves as a legal document to authorize additional time or budget for work outside the initial agreement.
